Terms and Conditions for Alafrique Travel and Tours

Introduction
Welcome to Alafrique Travel and Tours! These Terms and Conditions (“Agreement”) govern the relationship between you (“the Client,” “you,” or “your”) and Alafrique Travel and Tours (“we,” “us,” or “our”), a travel agency operating in Victoria Falls, Zimbabwe. By making a booking, purchasing a service, or engaging with our services, you agree to be bound by these Terms and Conditions. Please read them carefully.

If you do not agree to these terms, you should not make a booking or use our services.

1. Booking and Reservations

  • Booking Process: To book any of our travel packages or services, you must complete the booking process through our website, by phone, or via email. A booking is only confirmed when we send you a confirmation email, outlining the details of your reservation, including dates, services, and total cost.
  • Payment: A deposit or full payment is required at the time of booking, depending on the service. The payment can be made by credit/debit card, bank transfer, or other methods we specify. The balance of the payment must be settled according to the payment schedule provided.
  • Booking Confirmation: Once your payment has been received and processed, you will receive a confirmation of your booking. This confirmation will include all the relevant travel details, including itinerary, accommodation, activities, and any other services you have requested.
  • Changes to Booking: Any changes to your booking, including dates, services, or other arrangements, must be requested in writing and are subject to availability and any applicable fees. Changes may incur additional costs.

 

2. Payment and Pricing

  • Prices: The prices of our tours, services, and packages are set at the time of booking and are subject to change due to currency fluctuations, changes in local taxes, or any other unforeseen circumstances. We will notify you in advance of any price adjustments before confirming your booking.
  • Payment Terms: A non-refundable deposit may be required at the time of booking to secure your place. Full payment is typically due 30 days before the departure date. If full payment is not received by the due date, we reserve the right to cancel your booking and apply cancellation fees (see section 4).
  • Currency: All prices are quoted in USD unless otherwise specified. If your payment is made in a different currency, exchange rates may apply.

 

3. Cancellation and Refund Policy

  • Cancellation by Client: If you need to cancel your booking, you must inform us as soon as possible. Cancellations must be made in writing via email. The following cancellation fees will apply:
    • More than 30 days before departure: 50% of the deposit paid.
    • 15 to 30 days before departure: 75% of the total cost.
    • Less than 15 days before departure: No refund.
    • No-show or early departure: No refund.

    Some third-party suppliers (hotels, airlines, tour operators) may have their own cancellation policies, which may differ from ours. We will inform you of any such policies when making the booking.

  • Cancellation by Alafrique Travel and Tours: We reserve the right to cancel or modify your booking due to reasons beyond our control, such as natural disasters, safety concerns, or governmental restrictions. In such cases, we will offer you alternative arrangements, a full refund, or credit for future travel, depending on the circumstances.

 

4. Travel Insurance

We strongly recommend that all clients purchase comprehensive travel insurance that covers health issues, trip cancellations, loss of personal belongings, and other potential risks associated with travel. We are not liable for any losses, damages, or costs incurred due to illness, injury, theft, or cancellations that are not covered by insurance.

5. Health, Safety, and Fitness Requirements

  • Health Declaration: Clients must ensure that they are physically and mentally fit to participate in the tours or activities they have booked. Some activities may involve physical exertion, and clients must disclose any pre-existing medical conditions, allergies, or special needs before booking.
  • Safety Guidelines: Clients must follow all safety instructions and guidelines provided by our staff, guides, and local authorities. This includes wearing safety gear (where provided), following tour guides, and adhering to local laws and regulations.
  • Emergency Evacuations: In the case of an emergency, Alafrique Travel and Tours will assist in coordinating evacuations or medical assistance. However, any associated costs, such as medical expenses or emergency evacuations, are the responsibility of the client.

 

6. Client Responsibilities

  • Behavior: Clients must behave in a respectful and courteous manner towards other travelers, guides, and locals. Disruptive or unlawful behavior may result in the removal of the client from the tour or activity, and no refunds will be provided.
  • Legal Compliance: Clients must comply with all applicable laws, including customs, immigration, and health regulations, both in Zimbabwe and at other destinations visited during their trip.
  • Personal Belongings: Alafrique Travel and Tours is not responsible for the loss, theft, or damage of personal property during the course of the trip. Clients are advised to keep valuables in safe locations and secure accommodation.

 

7. Liability

  • Limitation of Liability: Alafrique Travel and Tours will not be held liable for any direct or indirect loss, injury, or damage sustained by clients during the course of their travel, except as expressly provided by law. We are not liable for any losses or damages caused by events beyond our control, such as natural disasters, strikes, or third-party negligence.
  • Third-Party Suppliers: Some services provided, such as accommodation, transportation, and activities, are supplied by third-party vendors. While we ensure that these suppliers meet our safety and quality standards, we cannot be held responsible for their actions or failures.

 

8. Force Majeure

Neither Alafrique Travel and Tours nor the client will be held liable for failure to fulfill any part of this agreement due to circumstances beyond their reasonable control, including but not limited to natural disasters, war, civil unrest, pandemics, strikes, government actions, or other unforeseen events.

9. Privacy and Data Protection

We collect and process personal data in accordance with our Privacy Policy, which can be found on our website. By making a booking, you consent to the collection, use, and processing of your personal data for the purpose of providing our services.

10. Modifications to Terms and Conditions

Alafrique Travel and Tours reserves the right to update or amend these Terms and Conditions at any time. Any changes will be posted on our website, and the revised Terms and Conditions will apply to all bookings made after the date of the update.

11. Governing Law and Dispute Resolution

  • Governing Law: These Terms and Conditions are governed by and construed in accordance with the laws of Zimbabwe.
  • Dispute Resolution: Any dispute arising out of or in connection with this Agreement will be resolved through negotiation. If a resolution cannot be reached, the dispute will be referred to mediation or arbitration in Zimbabwe.
